Reporting to the Executive Director, East End Family Health Team, the Program Supervisor and Coordinator will help to ensure the efficient day-to-day operations of the East End Family Health Team, including the oversight of new programs and initiatives.

What you will be doing:

  • Facilitate the smooth and efficient operation of the team and ensure that the team meets the organizational objectives;
  • Provide guidance and direction to medical receptionists and clerks, ensuring consistency in office protocols;
  • Coordinate and implement team and individual training initiatives;
  • Manage the internal office phone system, providing recommendations for improvements, and implementing necessary changes to enhance communication efficiency;
  • Assist with answering patient inquiries and provide support with program development including chart maintenance, and patient appointments;
  • Support the implementation of the EEFHTs infection control protocols, including: staff immunization, staff TB testing, community screening/immunization and appropriate case finding follow-up;
  • Support the implementation of the EEFHT’s services for unattached patients in collaboration with other primary health care organizations and teams.
  • Provide input on program development by identifying needs from client groups and team members;
  • Assist with regular client surveys, chart audits and program evaluation activities;
  • Assist in the development and implementation of Health Services Quality Improvement initiatives;
  • Maintain up-to-date databases collaborating with team members to manage ongoing data requirements;
  • Coordinate the implementation of regularly scheduled Quality Assurance initiatives: Best Practice Guidelines, audits, and annual review of Medical Directives;
  • Ensure maintenance of adequate stock of medical supplies, medications and vaccines;
  • Coordinate special clinical activities such as the annual flu vaccination clinics
  • Provide direct administrative support to the Executive Director of the East End Family Health as directed.

What you will need to be considered:

  • Two (2) year Diploma in Medical Office Administration, Office Administration, Business Administration, or a related/relevant field;
  • Two (2) years of progressive experience in an administrative or health care environment is required;
  • Experience in an environment where collaborative union relationships are encouraged;
  • Previous experience in a busy environment where multi-tasking is required; and
  • Good knowledge of financial and administrative systems.

The successful candidate will have advanced communication skills, computer literacy skills, and excellent time management, prioritization, organizational and task consolidation skills. They will also poses effective project management skills and research and report writing skills.
